A useful RFQ does not need every answer

A request for quotation should give the manufacturer enough context to understand the product and identify the decisions that affect scope. It does not need to pretend that every detail is final. A reference image, intended user, target market and approximate quantity can be enough to begin a productive review when the buyer clearly marks which items still need recommendation.

The goal is a comparable quotation. If one supplier assumes standard packaging while another includes a custom box, the totals do not describe the same project. Use this checklist to make the scope visible and ask the supplier to record any assumptions or exclusions in the response.

  • Attach visual references even when technical drawings are not available
  • Ask the supplier to list assumptions that affect the quotation

Identify the product direction and intended use

Begin with the belt category and the situation in which it will be worn or sold. State whether the project is a nylon, webbing, elastic, tactical, EDC, braided, canvas or another fabric-belt direction. Explain the intended user, sales channel and destination market. This information helps the manufacturer interpret the requested appearance, construction and packaging in context.

If an existing product is the starting point, include its FKY model or page link. If the idea comes from another reference, explain what you like about it without assuming the same construction is available. For an ODM concept, describe the product problem or distinctive feature the new design needs to address.

Describe the strap, buckle and fit requirements

Provide the preferred strap material or product feel, width, colour direction, length or size range and adjustment method. If the material is open, describe the use case and visual character you want. A manufacturer can then discuss suitable options without treating a fibre name as the complete specification.

For the buckle, include a model reference or explain the desired opening, adjustment and appearance. State any must-have branding area, finish direction or metal-free requirement. Critical performance, load, safety or compliance needs must be identified explicitly so the appropriate evaluation can be discussed rather than inferred from a product photograph.

List branding, colour and packaging decisions

Explain where the brand should appear and supply vector artwork when available. Identify the preferred logo method, colour reference, buckle finish, labels, hangtags and packaging direction. If you are unsure which process suits the chosen surface, mark the result you want and ask for a recommendation rather than selecting a method from name alone.

The quote should state what is included and what still requires confirmation or a separate supplier review.

Provide a quantity range and commercial context

State the expected order quantity by model and colour, even if it is a planning range. MOQ varies by the selected model and process, so one universal quantity cannot be applied to every belt. A quantity range helps the team review an appropriate product route and prevents a sample conversation from being separated from the expected commercial scale.

Payment is by T/T and is generally arranged as a deposit plus balance. The exact ratio, payment stage and related terms should be confirmed in the project quotation or order documents. If the buyer has a required incoterm, destination, requested shipment window or internal approval date, include it for commercial review rather than assuming it is part of a standard offer.

State testing and documentation needs separately

Name the destination market and any product-specific testing, inspection or documentation request known to your team. Do not write only 'all certificates required'. The applicable requirement depends on the product, material, intended use and market, and should be reviewed with the appropriate compliance or quality professional.

Ask the quotation to separate product cost from optional testing, inspection, tooling, sample and packaging charges where relevant. This makes the scope easier to approve internally and prevents a compliance assumption from becoming an unsupported marketing claim.

Attach references in a reviewable format

Useful attachments include product photos, dimension sketches, logo artwork, colour references, packaging layouts and a short written brief. Name the files clearly and identify the latest version. If two references conflict, explain which one controls the decision rather than asking the supplier to guess.

08.

Know what happens after the RFQ is received

FKY generally issues a quotation within 24 hours after receiving a sufficiently complete RFQ. Weekends and public holidays can extend the response time, and special materials, processes or packaging may require an additional discussion before the scope can be quoted responsibly.

The next step is to resolve open questions, confirm the development route and agree the sample scope. A good quotation should connect the commercial offer with the product information it is based on. If the specification changes later, ask for the quotation and approval record to be updated before production decisions continue.
